How to import parts

You have a catalog of parts that can be used on work orders and estimates in emdecs one. Instead of entering parts into this catalog by hand, you have the option of importing them from a file. This is especially useful if you're transitioning to emdecs one from another software.

This article is for emdecs one admins looking to add parts in bulk.

Importing using the emdecs one part template

If you are using the pre-existing template for parts (learn how to download one if you'd like to use it), then you'll need to open it in a spreadsheet program. Once you've done that you'll see something like this:

The first row of this template is the column headings and should not be changed. The second row is an example part, so overwrite it with the details of the first part you'd like to import into the system then continue adding parts one per line until you've entered them all.

There are a few of these fields which are mandatory, and this is how to fill them in:

  • Part Number: Any combination of letters, numbers, and special characters
  • Part Name: Any combination of letters, numbers, and special characters
  • Conversion: Normally 1, but enter a different value if you purchase them in a different quantity than they are used (e.g., if you buy boxes of six air filters which are used one filter at a time on work orders then you should put 6 here).
  • Part Markup: A number between 0 and 100. The percentage by which you increase this part's cost when you charge for it. Don't include the percentage sign (%).
  • Retail Price: Any number. The price you charge when selling the price retail (don't include the currency symbol).
  • Vendor: Any text

Other fields are not mandatory, but you can fill them in if you like:

  • Manufacturer: Any text
  • Unit Of Measure: Usually EA (meaning Each, or one at a time is used), but any one of EA, BOX, KIT, ROLL, INCHES, LITER, GALLON, QUART, BOTTLE, or CM. Any other value will prevent this part from being loaded into emdecs one.
  • Usage Unit Of Measure: The same possible values as the unit of measure listed above.
  • Part Cost: A number. The cost to you when you order it from a vendor
  • VMRS Code: A six digit VMRS code that restricts the part to being used only on labour lines with that code, in the format 000-000
  • Core Part Number: Any combination of letters, numbers, and special characters. If this part has a core associated with it, the Part Number of that core. NOTE: The core must be in the system before it can be associated with a part, so if you're are uploading both you must list the core part on a line before the main part.
