How to import assets

Instead of entering assets (vehicles and trailers) by hand, you have the option of importing them from a file. This is especially useful if you're transitioning to emdecs one from another software.

This article is for emdecs one admins looking to add assets in bulk.

Importing using the emdecs one asset template

If you are using the pre-existing template for assets (learn how to download one if you'd like to use it), then you'll need to open it in a spreadsheet program. Once you've done that tou'll see something like this:

The first row of this template is the column headings and should not be changed. The second row is an example asset, so overwrite it with the details of the first asset you'd like to import into the system then continue adding assets one per line until you've entered them all.

There are a few of these field which are mandatory, and this are how to fill them in:

  • Asset Type: This must be one of Vehicle, Trailer, or Equipment. Any other value will prevent that asset from being imported.
  • Unit Number: Any combination of letters, numbers, and special characters
  • VIN: Any combination of letters and numbers
  • Make: Any combination of letters and numbers
  • Model: Any combination of letters and numbers
  • Year: Any four-digit number
  • License Plate: Any combination of letters, numbers, and special characters
  • Color: Any one of Beige/Tan, Black, Blue, Brown, Cream/Ivory, Gold, Green, Gray, Maroon/Burgundy, Navy, Orange, Pink, Purple, Red, Silver, Teal, Turquoise/Cyan, White, Yellow, Multi-colour, Other, and Unknown. Note that this field is only used to help technicians when they are looking for a vehicle in the yard or shop, so if you think it is unnecessary use Other or Unknown for your assets.
  • Category: List of acceptable categories (US/Canada), List of acceptable categories (UK/EU)
  • Subtype: List of acceptable subtypes (US/Canada), List of acceptable subtypes (UK/EU)
  • Customer: Any combination of letters, numbers, and special characters

There are also some fields which you can fill in if you like, but they are not mandatory. Leave them blank if you don't want to use them.

  • Active: Yes or No

  • Registration Date: A date in the format YYYY-MM-DD

  • Registration Expiration Date: A date in the format YYYY-MM-DD

  • Notes: Any text, numbers, special characters, and so on. Usually used to add information to an asset which is not covered by the other columns.
