How to create a part
Work orders and estimates usually need parts, and EMDECS one will help you track them. Doing this requires you setting them up in the system once, then you can use them anywhere in future. Here's how to do that.
Begin by selecting Shops > Parts from the side menu bar. This will show the main Parts list screen:

Click the NEW PART button to open a blank form that will let you fill in the new part's details:

A few of these are mandatory, and must be filled in:
- Part Number & Part Name: The number is the part number given to the part by the manufacturer, while the name can be any descriptive text you like.
Note that while you can have more than one part with the same number and more than one part with the same name, the combination of number and name must be unique. For example, if two manufacturers sell a brake pad part that is interchangeable, and so both have the same part number (say, 2380H), you can set this use this number twice in the system. You could not also give them the same name too, for example, Front Brake Pad. You would need to come up with something different for each of them, such as Front Brake Pad (Kia) and Front Brake Pad (Hyundai), so that the two 2380H's can be distinguished from each other. - Retail Price & Markup: You will need to fill in one of these, but not the other.
- If you have a standard price that you charge to customers, enter that price in the Retail Price field and leave the Markup field blank. EMDECS one will charge the retail price whenever this part is used on a work order or estimate.
- If you charge based on a parts markup, enter that percentage in the Markup field and leave the Retail Price field blank. EMDECS one will look your cost for the part when it was last received, and increase that by the percentage before charging it to your customer.
Several other fields are optional, but can enhance your ability to work with the part in EMDECS one:
- Manufacturer: The manufacturer of this part.
- Vendor: Who sells this part to you? This can be the same as the manufacturer, but is often a different part retailer or wholesaler.
- VMRS System & Assembly: If you want to restrict a part so that it can only be used on labor lines with a particular VMRS system code, or a combination of VMRS system and assembly code, enter it here. If you leave these blank, the part can be added to any labor line.
- Core Part: If the part is/has a core, select its part number here. Note EMDECS one treats cores and dirty cores as separate parts, so you can track how many of the latter that you have for re-use or recycling. That means that you do have to have the dirty core set up as a different part before you'll be able to assign this part as it's parent.
- Unit of Measure/Conversion/Usage Unit of Measure: Most parts are received and used in the same unit of measure, but sometimes these differ. An example would be conspicuity tape, which is usually sold to you by the roll and then used on work orders by the inch/centimeter. EMDECS one needs to know how your shop converts from one to the other.
- Unit of Measure: How the part is ordered from the manufacturer. In our previous example, this would be ROLL.
- Usage Unit of Measure: The unit you use when adding the part to a work order or estimate. Continuing with the example, this would be your unit of length (let's say centimeters).
- Conversion: What to multiply by to change one unit into the other. If our roll of conspicuity tape is 300 centimeters (3 meters) long, we'd put 300 in here.
At this point, if you are looking to create more than one part you can click the CREATE ANOTHER PART button. This adds a second blank entry form underneath the one you just filled in. You can add as many new parts at once as you like: just keep clicking the button as many times as you need. Note that if you click it by accident (or even if you've added details but changed your mind), you can always delete an entry form by clicking the trash can icon next to
When you are finished, click the ADD PART (or, if more than one new part is in play, ADD PARTS) button to save your new part. This also closes the entry form and takes you back to the main parts screen.
