User Manager: Creating New Users

In this article we will go over creating users for the KONA system, and how to assign software/licenses.

Creating New Users

First we will go to Administration > User Accounts > User Manager. Then select "New User",

 

This will open a new screen titled New User, Now you can fill in the required fields,

If you enter in any field incorrectly you will be notified with an error message,

Adding Licenses

Once a user is created you'll need to add a license/software. Select the security tab and press Add Software,

The software is what controls user access in the KONA system, The main two you'll be using are the manager and technician licenses. If you require any additional licenses, please contact the CX Team by submitting a ticket to help@brightorder.com or giving us a call at 1-877-848-8817.

Once you press Add Software you will likely see a couple options, You'll need to select the software you want for the user and press Add,

Resetting Passwords for Users

Now that you have created a user and added the required software you'll want to set the users password. You can do this by going back to the details tab and selecting edit.

On the edit screen you'll need to press reset password, Enter the new password and press save/exit.

Location and Warehouse Restrictions

At this point you have a user created with licenses/software assigned and a reset password, Now you might need to restrict the repair locations or warehouses the user has access to.

Setting restrictions on repair locations or warehouses will stop users from working on repair orders out of locations they don't have access to, and will also stop them from accessing inventory held at warehouses not assigned to them.

First we'll need to go to the Regions/Repair Locations tab and select Add Repair Location. On this screen you can select the repair location, select the effective date and press add.

Next we'll go to the warehouses tab, press add warehouse, select the warehouse and effective date, then press add again.
