Getting started with emdecs one's Maintenance Module

As the first user of emdecs one in your organization you're a super admin, and as a super admin you'll want to set up a few details before shop managers, technicians, and others start using the program. Here's what you'll need to do.

Required Steps

The Maintenance module lets you create work orders & estimates, track parts, and optionally send transactions to your accounting program. Each of these requires setup of your business that emdecsone will reference when creating them.

Click each of the eight links below to learn how to do these things:

  1. Add a shop: You need to have one repair shop or location, so that work orders can be assigned to that shop. Technicians are also assigned to locations.
  2. Create a parts warehouse: This will be where emdecs one tracks the parts you have on hand and how many of them. Parts will be added to the warehouse when you receive them, and removed when you use them on work orders.
  3. Add vendors: Many parts orders are done with purchase orders, which are sent to a part vendor. You'll need at least one vendor set up before you can create a purchase order to send to them.
  4. Create parts: Likewise, if you're ordering and receiving parts to put into the warehouse then using them on work orders, you'll need to let emdecsone know what parts you use: names and part numbers, as well as details like charge price.
  5. Add customers: Your customers bring you vehicles to repair or inspect, so you need to let emdecsone know who they are so they can be billed.
  6. Add your customers' vehicles: Similarly, it's useful to know about your customers' vehicles, especially so you can track both what is being done to each vehicle on a current work order or estimate, or so you can see a historical record of what you've done before.
  7. Add taxes and surcharges: Everyone doing business needs to track taxes, so you'll need to tell emdecsone about the ones that are relevant to you, so they can be added when needed to your invoices.
  8. Invite your team: The Maintenance module is only as good as the people working in it, so have emdecs one send out account invitations by email. These will walk their recipients through setting up an account based on a couple of details you give up front (for example, their role in your company).
